AI scribes and clinic automation: what each one takes off your team

An AI scribe drafts the visit note. Most of a clinic's administration happens before and after the visit. Here is where each tool fits, and how they work together.

The short version

  • A clinical scribe, human or AI, documents the visit. That is one part of the administrative day.
  • Infoway's national evaluation found AI scribes saved primary care clinicians about an hour a week in clinic hours and close to another hour after hours.
  • Intake, forms, onboarding, faxes, phone calls and assessment reports happen around the visit, and a scribe does not touch them.
  • The two are complementary: a scribe for the conversation, an orchestration layer for everything moving between systems.

What a clinical scribe does

A clinical scribe documents the encounter so the clinician can focus on the patient. Human scribes have done this for decades in emergency and specialty care. AI scribes listen to the conversation, transcribe it, and draft a structured note for the clinician to review and sign. They are good at one thing, and that one thing matters: the note.

The evidence is now Canadian and large. Canada Health Infoway's AI Scribe Program enrolled 12,019 primary care clinicians, and its independent six-month evaluation, published in June 2026, found time savings of about 1.1 hours a week during work hours and nearly an hour a week after hours, with same-day note completion rising from 55.9 percent to nearly 75 percent.

Where the rest of the hours go

The visit is the middle of a longer chain. Before it, an enquiry is answered, a patient is registered, forms are sent and chased, eligibility is checked. After it, results arrive by fax and lab feed, reports are assembled, referrals go out, and the phone keeps ringing. That work belongs to the front desk, the clinic coordinators and, too often, the physician in the evening.

Using both

A clinic that runs an AI scribe still benefits from connecting everything around the visit, and the two do not compete. The scribe's validated note lands in the EMR. Clinic Conductor makes sure the patient arrived with complete history and signed consent, that the results the physician needs were filed before the visit, and that the follow-up reaches every system afterward.

The same privacy questions apply

Any tool that handles patient information, scribe or otherwise, needs the right agreement, consent where the law requires it, a clear answer on where data goes, and a firm commitment that patient data is never used to train AI. Our guides on Canadian privacy law and HIPAA cover what to ask.

Which to start with

Start where your clinic loses the most hours. For a clinic where physicians finish notes at night, a scribe is the obvious first step. For a clinic where enquiries wait, forms are retyped, faxes pile up or assessment reports take hours to prepare, the administration around the visit is the larger prize. Your Clinic IT Diagnostic measures both.

Questions, answered

What is a clinical scribe?

A clinical scribe documents a patient encounter so the clinician can focus on the patient. Human scribes work in the room or remotely; AI scribes transcribe the conversation and draft a note for the clinician to review and sign.

Does an AI scribe reduce administrative work?

Yes, for documentation. Infoway's national evaluation found savings of about 1.1 hours a week in clinic hours and nearly an hour after hours. Intake, forms, faxes, phones and reports sit outside a scribe's scope.

Can I use an AI scribe and Clinic Conductor together?

Yes. They cover different parts of the clinic's work. The scribe documents the visit, and Clinic Conductor connects the systems and workflows around it.
