Sound like your clinic?
This story will feel familiar if most of these are true for you.
- You run more than one location, or plan to.
- Your clients expect a reply within the hour.
- Confirming a new client means setting them up in several systems by hand.
- Membership or program eligibility is reviewed one application at a time.
- Demand is there. Admin capacity is what limits growth.
- Your experience is the product, from the first touchpoint.
The clinic
La Vie Executive Health Centre is a precision medicine practice operating across four locations in Ontario. It serves individuals, organizations and diplomatic families with physician-led care built around early detection, longevity medicine, advanced diagnostics and deeply personalized care programs.
Its clients include executives, government officials, diplomats and high-performing professionals whose expectations of healthcare are different from the public system. Precision, discretion, responsiveness and an effortless experience are the baseline they expect.
What was holding it back
When PulseAI began working with La Vie, the clinical standards were already exceptional. The constraint sat in the administrative space between a prospective client's first enquiry and their first appointment with a physician.
At the front end, every enquiry waited for a staff member. Enquiries arrived through the website and by phone, were handled one at a time, and required someone to collect intake information by hand before anything meaningful could happen next. For a clinic whose promise is attentiveness, a slow first reply is the most expensive kind of delay.
At the back end, confirming a new client was where the work began. Staff created profiles across the technology stack by hand, sent onboarding communications one by one and reviewed eligibility manually. Each step was sequential, and each was a place where delay accumulated. The process worked, and it could not keep pace with demand.
