At a glance

Our promises, kept for every clinic.

Your patient data is yours.

We use it only to do the work your clinic asks for. We never sell it, share it, or use it for anything else.

Never used to train AI.

Patient data is never training data, for any model, ours or anyone else's.

Canadian data is stored in Canada.

Canadian clinics are stored and processed in Canada. Québec clinics are stored and processed in Québec, on servers in Montréal.

US clinics have their own home.

A fully separate US setup with its own data, in the United States only. Canadian and US clinics never share anything.

Documents under review stay with you.

Drafts waiting for your clinician stay in your clinic's own account, under your control. Where that account is held depends on your clinic's setup, and we confirm it with you at onboarding so what you tell patients matches.

Protected end to end.

Your data is encrypted when it moves and when it rests, and everyone who signs in uses two-step verification.

Every access is on the record.

A log of who touched what, kept for seven years in your clinic's own country, and yours whenever you ask.

Signed before anything moves.

A privacy agreement with every clinic before any data is shared: a BAA for US clinics, a PHIPA or Québec agreement for Canadian ones.

Certified infrastructure
By jurisdiction

What we do, law by law.

Your clinic is the keeper of its patients' information. Here is what we take on with you, under each law.

Ontario

Personal Health Information Protection Act, 2004 (PHIPA)

  • We use health information only to do the work your clinic asks for, and never share it.
  • Everyone who works with it has agreed to the same rules in writing.
  • If anything is ever accessed or shared without permission, we tell you right away.
  • Your access records and our risk-assessment results are yours on request.
  • This page is written in plain language so you can share it with your patients.

Québec

Health and social services information act and Law 25

  • Stored and processed in Québec, on servers in Montréal.
  • An agreement that meets Québec's requirements, signed before any data is shared.
  • Everyone with access signs a confidentiality agreement.
  • We help with the privacy impact assessment Québec asks for before you adopt new technology.
  • If our agreement is ever breached, your person in charge of information protection hears from us immediately.

Canada

Personal Information Protection and Electronic Documents Act (PIPEDA)

  • Canadian clinics are stored and processed in Canada.
  • Information is used only for the reasons your clinic sets.
  • Patients keep their right to see and correct their information, through your clinic.

United States

HIPAA Privacy, Security and Breach Notification Rules

  • We sign a Business Associate Agreement (BAA) with every US clinic before any data is shared.
  • US clinics run in a separate setup, stored and processed in the United States only.
  • Safeguards that meet the HIPAA Security Rule, and we use only the minimum information needed.
  • If a breach ever happens, we tell you without delay, as the law requires.

What your clinic does on its side: your privacy responsibilities

Interoperability

Standards ready, coast to coast.

Clinic Conductor exchanges information on HL7 FHIR R4, the standard beneath the pan-Canadian specifications published by Canada Health Infoway. Jane App, Oscar Pro and TELUS Health are live in production.

Infrastructure and controls

Certified infrastructure. Careful controls.

Clinic Conductor runs on infrastructure independently certified to ISO/IEC 27001, 27017 and 27018, and audited under SOC 2 Type II.

Our own security practices follow the same frameworks, and we review them as the platform changes.

AI governance

The rules the AI runs by.

No clinical decisions.

Clinic Conductor organizes and surfaces information. Every clinical decision stays with your physicians.

Review before release.

Nothing generated for a patient reaches them until a clinician has reviewed it and signed.

Uncertainty stops for a person.

When an automated step is unsure, it stops and waits for a person.

For your privacy officer

The security package, on request.

Our security package has the detail your privacy review needs, including our subprocessors and template agreements. We send it to your privacy officer on request.

Report a concern

If you believe patient information has been handled in a way it should not have been, write to support@pulseai.ca. A person reads every message and replies within one business day.
